IT asset audit checklist

A physical count tells you what is on the floor. An IT asset audit asks whether the whole system around it works: is the register trustworthy, are hand-overs signed, did leavers return everything, and does finance agree. Here are thirteen checks, with a Word file to sign off.

What an IT asset audit covers

Seven areas: the register itself, hand-overs, leavers, the physical count, the match with finance, warranty and AMC, and who can change the records. Run it once a year, ideally just before the statutory audit, so problems are fixed before anyone else finds them.

Testing, not just ticking

For each check, test a sample rather than trusting the answer. Pick ten people at random and ask for their signed hand-overs. Pick five recent leavers and confirm every item came back. Pick five returned laptops and look for the wipe record. Write what you found in the notes column.

After the audit

List each finding with an owner and a date, and check them at the next quarterly count. Keep the signed checklist with the physical verification sheets for the year.

An audit trail that answers the checklist

AssetVow keeps signed hand-overs, exit cases, stock counts, wipe records and an audit log that cannot be edited, and gives your auditor a read-only role with a CSV of every change.

FAQ

Common questions

How is an IT asset audit different from physical verification?+

Physical verification counts what is there. An IT asset audit also checks the process: signatures, leavers, wipes, the finance match and who can change the records.

Who should do the audit?+

Someone independent of the person who keeps the register, such as internal audit or finance, with IT answering questions.
