Excel vs asset management software: when to switch

Most companies start with an asset register in Excel, and for a while that is the right choice. Here is when a spreadsheet is enough, the signs it has stopped working, and what changes when you move.

When Excel is enough

One office, one person who updates the sheet, few joiners and leavers, and devices that rarely move. In that situation a well-kept sheet with tags, serial numbers and holders does the job. Our free Excel template is a good place to start.

Signs the sheet has stopped working

  • More than one person edits it, and nobody knows who changed what
  • A second office, or people working from home with company laptops
  • Leavers whose laptops are found missing only at the Full & Final
  • Hand-over forms on paper that are hard to find when needed
  • Physical verification takes days because the sheet is out of date
  • Finance cannot match the sheet to purchase bills

What software adds that a sheet cannot

A spreadsheet records what someone types. Software can record what happens.

  • A history of every change: who, what and when
  • Signatures from the employee, not just a row saying “given”
  • Updates from the HR system when people join, move or leave
  • Reminders that chase returns without anyone writing emails
  • Access by office, so each team edits only its own
  • Bills, costs and book values attached to each asset

Moving from Excel without losing anything

Clean the sheet first: one row per asset, a unique tag, the serial number, the office and the current holder’s email or employee code. Then import it. A good tool checks every row before saving and shows what needs fixing, so the first day ends with a register you trust more than the sheet you started with.

Bring your sheet as it is

AssetVow imports your Excel or CSV register, suggests which column is which, checks every row before saving, and brings in today’s holders from the “Assigned to” and “Assigned on” columns.

FAQ

Common questions

Is it worth paying for asset software for 50 employees?+

If those 50 work from more than one place, or people join and leave every month, usually yes: one lost laptop costs more than a year of a small plan.

Can we keep using Excel alongside the software?+

You can export to Excel at any time for reports. Keep one source of truth for changes, or the two drift apart.

How long does moving from Excel take?+

An afternoon for a clean sheet. Most of the time goes into fixing duplicate serial numbers and missing holders, which the import shows you.
